Community Guidelines
OfficeSwap works because people trust each other with their offices. These guidelines keep it that way for everyone in your organization, whether you're offering your office or borrowing someone else's.
How we share
Treat every office like it's yours.
Book only the days you'll really use.
Leave it ready for the next person.
Everyone who uses OfficeSwap agrees to these Community Guidelines, along with our Terms of Service and Privacy Policy. Breaking them can mean losing access to your organization's schedule. Details on how that works are below.
1. Leave it how you found it
You're a guest in someone's workspace. They should come back to it exactly the way they left it.
Don't
- Leave food, cups or rubbish behind.
- Rearrange the furniture, move the owner's things or unplug their equipment.
- Take supplies, chargers or anything else home with you.
- Keep quiet about damage. If something breaks or goes missing, tell the owner the same day.
Tip: Snap a quick photo when you arrive, so you can put everything back where it was.
2. Respect what's personal
A borrowed office still belongs to someone else, and their things are off limits.
Don't
- Open drawers, cabinets or bags.
- Read papers, notes or screens left out.
- Log in to the owner's computer, phone or accounts.
- Use their personal things, like their mug, headphones or chair cushion.
Tip: Found something confidential lying out? Leave it where it is and let the owner know.
3. Only book what you'll use
Every office you hold is one the next person on the waitlist can't have.
Don't
- Request offices “just in case.”
- Forget to cancel when your plans change.
- Make extra requests under other people's names to get ahead in line.
- Book the same days in several locations at once.
Tip: Cancel in Plans the moment you know. The office goes straight to the next person waiting.
4. Offer what's really free
Offers are what make OfficeSwap work, so make them count.
Don't
- Offer an office that isn't yours.
- Offer days you'll actually be in.
- Cancel an offer at the last minute without telling the person who got it.
- Leave your office locked or unusable on days you've offered it.
Tip: Back early? Cancel your offer as soon as you know, and give the person who got it a heads-up.
5. Use your real name
Your coworkers need to know who's in each office.
Don't
- Use nicknames, jokes or someone else's name.
- Request offices for other people without asking them first.
- Pretend to be a coworker.
Tip: Use the name people know you by at work, so the board makes sense at a glance.
6. Keep notes helpful
Notes are for the next person: practical, short and friendly. Everyone in your organization can read them.
Don't
- Put passwords, door codes or other private information in a note.
- Use notes to complain about or call out a coworker.
- Write anything you wouldn't say to someone's face.
Tip: A good note answers the first question someone will have: where the monitor cable is, how the blinds work, which drawer is free.
7. Share photos with care
Photos you add are shared with everyone in your organization.
Don't
- Add a photo of someone without their permission.
- Use photos you don't have the right to use.
- Upload anything offensive, misleading or unrelated to work.
Tip: A clear, well-lit photo of each office helps people find the right door.
8. Keep your access code inside the team
Anyone with your organization's access code can see and change its schedule.
Don't
- Post the access code publicly, or anywhere people outside your organization can see it.
- Keep sharing it with people who've left your organization.
- Share your master code with anyone who doesn't need it.

9. Your workplace rules still apply
OfficeSwap helps you share offices. It doesn't replace your employer's policies.
Don't
- Use a borrowed office to get around security, visitor or safety rules.
- Bring guests into an office that isn't yours without permission.
- Ignore building access, accessibility or health and safety requirements.
Tip: When OfficeSwap and your workplace's rules differ, follow your workplace.
10. Zero tolerance for harassment
OfficeSwap is a workplace tool, and workplace standards apply everywhere in it: names, notes, photos and office details.
Don't
- Harass, threaten or intimidate anyone.
- Make derogatory comments about anyone's age, sex, gender identity, sexual orientation, disability, race, ethnicity, nationality, religion or any other personal characteristic.
- Use names, notes or photos to mock or single someone out, even as a joke.
- Retaliate against someone who reports a problem.
Tip: If something doesn't feel right, report it. Nobody gets in trouble for reporting in good faith.
11. Reporting and what happens next
Help keep OfficeSwap a good place to share. Here's how reports are handled.
What happens
- Tell your office manager, or email [email protected]. We read every report.
- Whoever holds your organization's master code can remove offices or people from it.
- We may remove content that breaks these guidelines.
- In serious or repeated cases, we may suspend an organization's access, as described in our Terms of Service.
